AI Policy

At the Wild Flower Wedding Co [ABN 25 980 591 273] (we, us or our) we are committed to being transparent about our use of Artificial Intelligence (AI) tools in our business operations. Where it is used, we strive to use AI ethically, and in accordance with Australian law and best practices.

 

This policy should be read in conjunction with our privacy policy, which details how we handle personal and sensitive information.

 

Use of AI tools

We may use trusted AI powered tools and platforms in our day-to-day business for purposes including but not limited to:

  • drafting written content such as emails, reports, captions, blogs or proposals;

  • assisting with design, formatting or editing;

  • automating internal workflows or administrative tasks;

  • supporting research or information gathering; and

  • enhancing customer support.

 

We do not and will not use AI to make autonomous decisions about individuals or their events without human review or oversight.

Who does this policy apply to?

This policy applies to all employees, contractors, and any other individuals or entities using AI systems provided or authorised by us. It covers all AI technologies used in our business operations, including but not limited to current and emerging AI technologies such as:

  • generative AI tools (e.g., for content creation, drafting);

  • machine learning models (e.g., for data analysis, automation)

  • AI-powered software applications; and

  • AI used in customer service (e.g., chatbots)

 

 

The term AI includes technologies that perform tasks typically requiring human intelligence, such as generating text, analysing data or making recommendations.

 

This policy applies only to AI tools directly used by us or under our control. It does not apply to AI use by a third party service provider unless expressly stated.

 

 

 

Safeguarding your information

Where AI tools are used, we treat confidential or commercially sensitive information with caution and take reasonable steps to ensure that personal information is not input into the AI platform unless essential and only where those Platforms have privacy protections in place. We do not knowingly input sensitive information such as health, racial or biometric data into AI systems without your explicit consent.

 

 

We will de-identify any of your content unless it is shared with your consent. Further, where possible we use AI tools that do not retain, share or train on sensitive client data to the extent we can control or verify this.

 

 

We also comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

 

 

Human oversight

Where AI is used in decision-making processes that may significantly affect individuals, we will ensure appropriate human oversight and review.

 

Accuracy and reliability

While AI tools can help us generate content or ideas, we acknowledge that AI can produce errors or inaccuracies. We do not rely on AI for accuracy or decision making. All outputs created with the support of AI are reviewed by our human team members before use.

 

We are ultimately responsible for the final content and decisions made in our business and will continue to be, regardless of the use of any AI tools. It is important for us that you know this when dealing with us.

 

Transparency

We will be transparent about our use of AI where appropriate and required by law. This may include informing individuals when they are interacting with an AI system (for example, in the case of a chatbot). Fairness

We are committed to using AI in a fair and non-discriminatory manner. We will take reasonable steps to identify and mitigate potential biases in AI systems and data.

 

Prohibited uses

We will not use AI for any of the following:

unlawful activity;

  • to discriminate against individuals or groups based on protected attributes (e.g., race, gender, religion);

  • to generate or disseminate false or misleading information with the intent to deceive;

  • to infringe upon intellectual property rights;

  • to create deepfakes or manipulate media in a way that could cause harm;

  • to create or use biometric surveillance systems (e.g., facial recognition) without lawful authority and consent; and

  • automated decision-making with significant legal or similarly significant effects, without appropriate human oversight, where such use is prohibited by law.

 

Monitoring and review

We will monitor the use of AI systems to ensure compliance with this policy. This policy will be reviewed and updated periodically to reflect changes in AI technology and the law.
